## Using NHS login to access PKB directly

Patients 16 or older can both register and log in to PKB using their **NHS login**, this includes users without an existing record so they can use NHS login to verify their identity & create a PKB record.

### Creating an NHS login

If you **do not have an existing NHS login,** you will be prompted to create one after entering your email from the NHS login sign-in page. NHS Digital have published a video and step-by-step guide on how patients can do this [here](https://www.youtube.com/watch?v=6FFjGUW6s7E&t=14s) .

To keep your health information safe, Patients Know Best requires the highest level of NHS login verification to log in (p9). If your account is currently set at a lower level, you’ll need to prove your identity to NHS login before you can continue. [Visit the NHS login help centre.](https://help.login.nhs.uk/)

You will be sent an NHS App message and associated push notification when you have a new message, questionnaire or document but you can also navigate to your PKB inbox via the NHS App inbox following the steps below:

## Accessing PKB Wayfinder questionnaires

The NHS App is working with acute NHS Trusts to enable patients to securely view and complete questionnaires within the NHS App. If your Trust is taking part in this programme (Wayfinder), you will find any questionnaires sent in PKB by your trust in the ‘Hospital and specialist documents and questionnaires' section of NHS App. If the questionnaire was sent by your Trust via PKB, you can complete the questionnaire from inside NHS App by clicking on the questionnaire and then clicking ‘Continue’.

The Trusts that are part of this programme are:

- Mid and South Essex NHS Foundation Trust (*Went live on 26/03/2026*)

The NHS App is working with acute NHS Trusts to enable patients to securely view summary details of their referrals and scheduled appointments within the NHS App. If your Trust is taking part in this programme (Wayfinder), you will find any upcoming & past appointments from that trust in the NHS App in the Appointments section. If the appointment is stored in PKB, you can access more detailed information for that appointment by clicking on the ‘View or manage this appointment’ button.

You can read more about the NHS App Wayfinder features on the NHS England website [here](https://digital.nhs.uk/services/nhs-app/guidance-on-hospital-referrals-and-appointments-on-the-nhs-app)

# Notifications from PKB in the NHS App

## Notifications & Messages for organisations onboarded to NHS App Wayfinder programme

### Appointments

PKB send Notifications & Messages (N&M) in the NHS App for appointment activity, which includes sending an NHS App message and an associated native Apple or Android push notification.  We trialed N&M with a single trust in December 2024 & January 2025 and saw an increase in registrations and decrease in DNAs. Other trusts live with the Wayfinder programme are also now live with the feature.

The actions that trigger an NHS App N&M, are:

- A new appointment in the patient’s record
- An update to an existing appointment in the patient’s record
- An appointment cancellation .

### Questionnaires

PKB send Notifications & Messages (N&M) in the NHS App for questionnaire activity, which includes sending an NHS App message and an associated native Apple or Android push notification.

The actions that trigger an NHS App N&M, are:

- A new Advanced Questionnaire is sent to the patient from a Wayfinder enabled trust.

### **User Journey **

- You will receive a message in your NHS App message inbox alongside an associated push notification.
- Clicking on the push notification will take you through the authentication process to open the NHS app and then go straight to the message in the NHS App Messaging inbox.
- The message will contain a summary of the appointment or questionnaire update and a link to view the appointment or questionnaire in PKB

### Email notification fallback

To ensure you are contacted promptly about appointment updates whilst preventing notification overwhelm, we include the  following rules when sending NHS App N&M notifications:

1. If the message sent to the NHS App is read within 4 hours of sending, we will NOT send an email notification
2. We will send an email if:
  1. We receive a ‘rejected’ or ‘un-notified’ status
  2. We don’t receive a ‘notified’ status within 1 hour
  3. If the NHS App message has not been opened within 4 hours

## Troubleshooting

## How to resolve email mismatch between NHS login and your PKB record

If the email address on your NHS login is linked to a different account on Patients Know Best (PKB), you will need to:

1. **Update Your Email Address**:
  - Either change your NHS login email address to match the one on your PKB account, or
  - Remove your NHS login email address from the other PKB account.
2. **Refresh the Account Link**:
  - Use this link to refresh the connection: [Refresh Account Link](https://my.patientsknowbest.com/nhs-login/login?forceNewMetadata=true).
  - Sign in with your NHS login.
  - Confirm your PKB password when prompted.

Once completed, you’ll be able to use NHS login to access Patients Know Best seamlessly.

## Age restrictions

## Proxy access in the NHS App

Proxy access in the NHS App currently only relates to the GP services, as they offer the ability to do proxy. When "proxying" all other services such as Patients Know Best are shuttered off / hidden and therefore will not be accessible.
