Patient Led Validation (PLV) is an integrated communications campaign module on the Federated Data Platform (FDP) that enables organisations to validate patients waiting for appointments directly from the Patient Tracking List (PTL). 

Patient-led validation campaigns can be large-scale through configurable, scheduled, multimodal communications, including patient engagement portals, SMS, and digital and physical letters. PLV helps organisations confirm whether patients wish to remain on the PTL and supports appropriate follow-up actions, such as booking appointments or discharging patients, based on patient responses or non-response. 

The FDP has integrated with PKB so PKB’s users respond to these campaigns. The tight integration improves collaboration between validation teams, clinicians and patient access. It also reduces operational teams’ need to log-into several systems and manually track responses. 

PKB notifies patients - both registered and unregistered - through the NHS App with a fallback to email. This avoids SMS costs and aligns with NHS England expectations of the NHS App as the front door for all patient communication.

# Workflow

## Configuring campaigns

The PLV tool enables users to select custom, pre-built PKB questionnaires that will be used in the communication campaigns. The campaign manager selects patients who should be included in the campaign based on advanced filtering logic and cohorting.

## **Triggering questionnaires**

After a campaign manager reviews and activates a campaign, the PLV tool triggers the PKB API. PKB sends the corresponding questionnaire. This action is automated through the integration between the PLV tool and PKB, minimising the resource demands on the Trust.

## **Notifications via NHS app/email**

PKB sends patients an NHS App notification, with an email fall-back notification. The patient tapping on the notification sees a message within the PKB “Messages” section, inside the NHS App and the PKB web site.   Patients will receive an email notification only if they have not opened or read the NHS App message within 4 hours. Patients sent a questionnaire from an organisation not enabled for NHS App Notifications & Messages will receive an email straight away.

## **Access and response through NHS App**

Patients fill out the PKB questionnaire directly in the NHS App.  This works for all users of the NHS App, without needing PKB registration.  PKB’s NHS App notifications work as long as the patient has installed the NHS App; the organisation has enabled NHS App notifications & messages and the organisation has entered the NHS number into the patient’s PKB record.

## **Feedback into PLV**

PLV automatically pulls the patient's responses. This ensures that FDP data is updated in real-time, enabling efficient tracking and management of the campaign and responses, to inform next steps.

The PLV app also provides summary metrics on the performance and usage of PLV, including how many campaigns have been launched, how many messages have been sent, and the actions taken.
